To make every presentation effective, content and structure is the most important thing to attract the audience to yourself. The first impression to the audience make your whole presentation charming. So if you don’t pay attention to your Content and Structure of Presentation then you are losing the whole game.

The Content

It is likely that you already have the topic and you know what you want to say about it. That this is the content you have for your presentations, you may already have the content of your presentations must in the written form: for the example in the written report. Whether your content is already written down or you are the beginning from scratch, you may need to cut it down for your oral presentations. Why?

  • You will need to fit your content within the time limits, think carefully about how much of information you can reasonably present in the time allowed and select the most of important points of presentations.
  • You will need to hold down the interest and the attention of your audience, many of people lose interest towards the end of the presentations that contains too much information, think before carefully about the main key points that you want to get across and build your presentation around of them.
  • Some kinds of the information, such as technical explanations and tables of the figures, are difficult for the listeners to absorb during a presentation, so think about summarizing this kind of the information or referring the listeners to the document they can read after your presentations.
  • You will need to leave the time for examples and illustrations of your points, think before carefully about how you will support and explain your key points.
  • You will need to leave the time for the introduction, conclusion and questions or comments section, during this time you likely to be repeating points made in the main body of your talk.

Remember three points to think about when preparing the content of the presentation:

  • What are your own key points? Most good presentations have no key points more than five.
  • How will you support your key points with examples or illustrations?
  • How will you make it easy for your audience to follow up your key points?

The Structure

The most presentations will consist of the introduction, the body of the talk and the conclusion, The introduction prepares the audience for presentation or what you will say in the body of the talk and the conclusion will reminds them of your key points, Good presentations will raise questions in the listeners’ mind, the Good speakers encourage the questions both during and after the presentation and are prepared to answer them quickly.

The Introduction

The good introduction does four things in presentation:

  • Attracts the audience and focuses the attention of the audience
  • Puts the speaker and audience at ease level
  • Now explains the purpose of the presentations and what the speaker would like to achieve in presentations
  • Gives an overview of the key points of the talk or presentations

It is often the good idea to begin a talk with the question, the short story, an interesting fact about your topic or an unusual audio visual aid, some of many speakers follow this with an overhead transparency that shows the title, the aim and the outline of the talk or presentation.

The Body

The body of the presentation must be presented in the logical order that is easy for the audience to follow and genuine to your topic, Divide your content into the sections and make sure that your audience knows where they are at any time during your talk, It is often the good idea to the pause between main sections of your presentation. You can ask for the questions, sum up the main point or explain them what will the next point will be, If you have the OHT with an outline of your presentation on it, you can put this on the projector briefly and point to the next section clearly.

As the examples, details and audio visual aids add interest to the presentation and help you get your message through, now here are some questions you can ask yourself about the examples you have to include:

  • Are they relevant to the experience of the audience to get attention?
  • Are they concrete for audience?
  • Will the audience find them interesting for the topic?
  • Are they memorable for the audience?

The Conclusion

The good conclusion does two things to charm presentation:

  • Reminds the audience of your main key points of presentation
  • Reinforces your message to grasp points

Your conclusion should end the presentations on the positive note and make the audience to feel that have used their time well listening to you and your presentations.

The Questions

Many speakers worry about the questions from the audience, however, questions show that the audience is the interested in what you have to say and can make the presentations more lively effective and interactive, you should be more worried if there are no questions arise at all! One the way of handling the questions is to point to the questions you would like to discuss as you are presenting. You can control the questions better if you leave the pauses during your talk and ask for the questions, It is important not to let the question and answer sessions during the presentations go on too long, however, the Answer briefly or say you will deal with the question at the end, So make sure you are ready to go on with your presentations when the questions have finished.
